Send SMS or Email to member using SharePoint

What we need: A way to send members SMS/email using SharePoint.

The solution: Workflows a few list and SPD

Disclaimer: I have installed the Useful Sharepoint Designer Custom Workflow Activities. You do not need this tool however for one action I did. (the lookup email address action)

Pre Steps

  1. Create first List call Members or use existing list (my is MSN Users) with the following columns
    1. Full Name
    2. SMS Address
    3. Email Address 
  2. Create second List called SMS, we will us this list to send emails to the address to our members. It will need the following columnsimage
    1. To: which is a look up to the first list Full Name
    2. Subject
    3. Mail Body
  3. Next you want to set the SMS Advance setting to the following picture (If you want this will not change the function, I wanted these setting)image

Work Flow Steps in SPD

  1. Open the site in SPD
  2. Create a new Workflow and link it to the SMS list, in my case I wanted the workflow to start once a new item is created, you may want to change this setting. image
  3. Create a new Workflow step called Get data. This step will get all the data needed for the next step (the full Step is the larger picture below)
    1. The first action is using the Useful Sharepoint Designer Custom Workflow Activities which will get the person’s Email address that Created the item, which in turn we will use later to send a CC to so that the person sending the email also gets a copy
    2. The next action is optional as it just logs the Senders Email to insure it working in the WF
    3. We get to get the value of the person in the To: from the list using String Builderimage
    4. The next action is optional as it just logs the To: value to insure it working in the WF
    5. The next action is using String Builder to make the Email Subject image
    6. The next action uses the String builder to make new value to store the Email Address from the To:  
    7. The next action is optional as it just logs the Email value to insure it working in the WF
  4. Step 2 of the workflow will send the email to the members
    1. Condition 1 will check to insure that the value of Send To equal blank which are “?????” if so it will only send an email to the Email and not the SMS
    2. Condition 2 will check to insure that the value of Email address equal blank which are “?????” if so it will only send an email to the SMS and not to Email address
    3. The last condtion is blank and which mean both values (SMS and Email are filled) to send the email to both address
